Finance & Administrative Specialist - The Library Foundation

The Library Foundation is the non-profit fundraising arm for the Topeka and Shawnee County Public Library with a mission to secure financial resources to support the library’s collections, programs, services, technology and physical facilities. The Finance and Administrative Specialist is responsible for day-to-day financial operations, administration of the donor database, and general office correspondence for the Library Foundation. The successful candidate must be a self-motivated and well-organized person who possesses strong written and verbal communication skills.

Key Responsibilities 

  • Performs day-to-day financial functions including deposit preparation and recording, and accurate data entry.
  • Coordinates with independent accounting firm to oversee monthly financial reporting. Manages timeline and preparation for annual audit and annual tax returns. Responds to data requests from the Library Finance Department, external auditors, accountants, investment managers and donors.
  • Enters data into the donor management database and ensures information is kept up to date and accurate. Conducts continuous review of data integrity, such as duplicates and changes in contact relationships. Manages donor lists and is responsible for timely and accurate donor acknowledgements.
  • Responsible for list development, donation receipt and recognition. Supports planning and execution of special events including logistics and catering.
  • Helps Executive Director and board members cultivate and solicit charitable gifts. Supports the Executive Director in monitoring and improving donor recognition and stewardship initiatives.
  • Provides administrative support for board and committee meetings, including recording of minutes. Maintains annual schedule for the Foundation’s appeals and campaigns to ensure coverage of all activities.
  • Provides administrative support to the Executive Director. Participates in library-wide efforts including staff meetings and library programs. Meets with library staff to share and receive information. Participates in seminars, workshops and other training to enhance expertise and update necessary technical knowledge.
  • Maintains prompt arrival and efficiently and dependably maintains scheduled hours.

Schedule: This is a full-time non-exempt (hourly) position that works 40 hours per week Monday through Friday.

Position Requirements:

Required:

  • A combination of finance or office support work and/or post-secondary education to total three years.
  • High School Diploma or equivalent.
  • Valid Driver’s license with insurable driving record.

Preferred:

  • Three years of experience working in a professional position in a financial, non-profit, or fundraising office environment.

Knowledge, Skills & Abilities

  • Ability to gather and analyze facts on a variety of subjects and to assemble reports.
  • Ability to communicate effectively both orally and in writing.
  • Strong organizational skills.
  •  Ability to communicate and work cooperatively with Foundation Board members, members of the public and library employees. Ability to handle confidential information in a professional manner.
  • Demonstrated skill working with Microsoft Office Suite applications.
  • Ability to manage assignments and meet deadlines with minimal supervision.
  • Ability to positively adapt and respond in a fast-paced work environment.
  • Ability to work independently or in a team.
  • Ability to work with accuracy and precision.
  • Ability to arrive promptly and maintain regular and reliable attendance.

PAY & BENEFITS: Starting hourly rate will be in the range of $20.65 to $23.23 depending on experience and qualifications. Excellent benefits including health & dental insurance with pre-tax premiums, and a retirement plan (Kansas Public Employees Retirement System (KPERS)). Group life, disability coverage and accidental death benefits are also provided. Other optional benefits available at employee's expense include vision, life and cancer insurance and a deferred compensation plan.
